An independent surveyor receiving your information will normally act under their own professional terms and may be a separate controller for the information they receive. You should review the surveyor's privacy information before appointing them.

Depending on how you use the service, we may collect:

  • Identity and contact data: name, email address, telephone number, country and preferred contact method.
  • Vessel and assignment data: vessel make, model, year, size, material, type, current or intended flag, location, survey purpose, timing, known issues and requested scope.
  • Commercial and communication data: messages, quotations, introduction history, feedback, complaint information and records of our communications.
  • Technical and usage data: IP address, device and browser information, security events, server logs, referring pages and cookie choices where these are collected by the live service.
  • Compliance data: information reasonably required to prevent fraud, meet legal obligations or respond to a lawful authority request.

Please do not provide sensitive personal information unless we specifically request it and you have a lawful reason to provide it. If you give us information about another person, you must have authority to do so and should make this policy available to them.

We share only information reasonably needed for the relevant purpose. We do not sell personal data.

7. International transfers

TB Boat Services Ltd is based in the United Arab Emirates. A survey enquiry may also need to be shared with a surveyor in Ireland or another country where the vessel is located. Technology providers may process information in additional countries.

Where data-protection law requires safeguards for an international transfer, we will use an available lawful transfer mechanism or another permitted basis. You may contact us for further information about safeguards relevant to your data.

8. How long we keep information

Our normal retention approach is:

  • general and unsuccessful introduction enquiries: up to 24 months after the last meaningful contact;
  • active introduction, complaint or dispute records: for as long as the matter remains active and afterwards for the period reasonably needed for legal, insurance and accountability purposes;
  • financial, contractual or regulatory records: for the period required by applicable law; and
  • routine security and technical logs: normally no longer than 12 months unless an incident or legal requirement justifies longer retention.

We may delete or anonymise information earlier when it is no longer required.

9. Security

We use reasonable organisational and technical measures designed to protect personal data against loss, misuse, unauthorised access, alteration and disclosure. No internet or email system is completely secure, so please avoid sending unnecessary sensitive information.
